TIME Software Module

IBS Time is software that manages time reporting, payroll transactions and manufacturing reporting for shop floors and factories. It can be integrated seamlessly with IBS Manufacturing or IBS Project Management. A standard interface lets you integrate IBS Time with any payroll system or with another manufacturing or project system.

TIME REPORTING

The main function of IBS Time is to capture time data for a record of attendance and absence. Transaction data can be captured, calculated, attested and then transferred to the payroll system.

IBS Time gives you a great advantage with its predefined integration to IBS Manufacturing, ensuring a lean and smooth manufacturing process for time reporting. An end user simply reports the work performed. The system uses this information to automatically update manufacturing orders, and to calculate detailed transactions that can be integrated with a payroll system.

CLOCKING IN/OUT – Recording presence or absence.

CLOCKING ZONES – Where zones are defined, employees are required to clock in or out within the zone. Clocking outside the zones is not recognized, except if a zone is defined as 'optional'.

START / STOP TIME FOR ACTIVITY – Can refer to operation, project or deviation in cost center.

DEVIATIONS (SUCH AS OVERTIME, ABSENCE) – Can be entered by code.

The system can be configured to give alerts or require codes for deviations. Codes in the personnel registry can be set up so that only deviations from schedules need to be reported.

ATTESTING

The flexible setup of IBS Time enables attesting to be performed as close as possible to the source, or to the employee who performs the work. This approach helps to ensure accuracy and increase operational responsibility.

ATTEST – Authorization from a person responsible for the department.

MULTIPLE ATTESTORS – More than one attestor can be defined for each department or authority level.

AUTOMATIC UPDATES OF ATTEST INFORMATION – Attest information in the calendar file will be updated automatically. The system checks the data and indicates errors or deviations.

Several attest views are available to meet different needs. For example, total time per employee for a selected time period can be reported.

The system can be set up to handle attesting manually; or, if no errors or deviations are recorded, attesting can be performed automatically.

Attesting can be performed day by day, or by batches for groups and elective time periods.

SCHEDULES AND TIME CALCULATION

When it comes to calculating time transactions, the flexibility of IBS Time makes it possible for you to set up the system to match the specific rules of your country or company.

IBS Time can be configured to match your own time policies and perform all time calculations automatically for you. This helps to streamline workflows while ensuring accurate calculations.

IBS Time handles work schedules through the use of pre-defined wage types (hours earned toward wage). Intervals can be defined for normal work, flexi time and overtime. A schedule can also be defined to handle shift work.

Deviations from the scheme are indicated by the use of time codes when clocking in or out.

FLEXIBLE SCHEDULES SETTING – A schedule can be defined individually for an employee or a common schedule for a group of employees can be set up for any period, from each day to a whole year.

FLOATING WORKING HOURS – The system recognizes schedules with no fixed working hours, and can calculate hours worked by comparing actual attended time to expected attendance.

CALENDAR MAINTENANCE – To allow for unplanned calendar changes, daily schedules can be replaced in the time reporting routine (both from the PC client and the server).

TIME CALCULATION – Calculates time according to clocked transactions and the rules defined in a day schedule. Time can be transferred to the payroll system.

MANUFACTURING REPORTING

IBS Time enables you run to smooth and optimized manufacturing processes with efficient time reporting and calculation.

RUN AND SET-UP TIME – It's possible to register and follow up run-time and set-up time for different manufacturing orders and other processes.

QUANTITY REGISTRATION – Registration of approved and rejected quantities for manufactured items, with a reason code for waste.

CONSOLIDATED ORDER – Handling of a group of operations as one unit at, for example, line manufacturing. Reported time is then divided among the operations.

GROUP REPORTING – A number of employees form a work group. Start and stop times are reported for the group and time is calculated for each member of the group.

The following functionality can be made available in IBS Time modules that are integrated with IBS Manufacturing solutions:

  • REPORTING – Registration of manufacturing orders and operation transactions
  • FOLLOW-UP – Follow-up of time-spent-per-order and operation
  • STOP REASONS – Follow-up on stop reasons for a manufacturing failure or downtime

INFORMATION OVERVIEW

IBS Time includes several tools that let you follow up and obtain a quick overview of the information created within the solution.

ATTENDANCE – Online overview of an employee's or group's presence or absence, with coded reasons for absence.

BALANCE – Employees can view their own balances on pre-determined wage types, such as flexi-time balances, overtime, etc.

BALANCE REVIEW – Administrators can review and re-calculate included transactions and balances, as well as correct base amounts.

ARCHIVE – All transactions can be archived for later inquiries. Access to the information saved is user-controlled.

REPORTS – IBS Time includes a number of standard reports and has flexible selection criteria for the different reports.

INFORMATION CENTER – Messages and other operational information can be viewed.

PC MODULE

In addition to the base server system, an optional PC module can be used. The PC module can work offline and be operational when the base server system is down, serving, for example, as a backup. The module can be adapted to support barcode readers and touch-screen terminals.

SECURITY – High-level security, including authority handling, is built into the system, allowing for off-line updates and 24-hour runtime.
