Tracking Purchases and Sales

One of the unique aspects of remanufactured parts purchasing and sales is the required exchange fees. These fees may vary depending on the part, the customer and the supplier, not to mention the fact that they often must tie back to the original purchase order or sales order. By integrating the functions of purchasing, sales, warehouse and accounting into one software suite, IBS Core Exchange handles the fees associated with all these transactions efficiently and effectively - as they occur. When a remanufactured part is purchased, an exchange fee deposit is created and maintained as the purchase order is processed. When a part is sold, the exchange fee deposit charge is created and associated with the relevant sales order. These purchase and sales return obligations are tracked in "core banks." These data files not only record the movements of remanufactured and dirty cores, but also control the resulting core charges and adjustments.

Different Customers Require Different Solutions

Distributors who provide core exchange services must often deal with two different customer types. Repair entities like garages and jobbers tend to return dirty cores on a single or small batch basis. They typically need a replacement part quickly and the exchange credit applied immediately to the new sales order. In contrast, retail returns may be by the truckload, and therefore, must be treated differently. Retail customers may also want the exchange credit applied to new sales orders, put on account for future sales orders, or even applied toward past sales orders to offset the core exchange fees incurred when they purchased a specific part. Increased Information

To whom do you owe cores? To whom do you owe fees? Who owes you cores or fees? Tracking the transactions and balances of cores in and out of a warehouse is often more complicated than tracking normal inventory due to the associated fees and requirements. IBS Core Exchange provides purchase and sales exchange balances, return obligation requirements, on-hand quantities and anticipated customer returns. Inquiries are available to gather specific information about sales and purchase exchange banks. For heavy equipment distributors who deal with customized machinery, inventory accounting can be split into two transactions; one for the fixed cost core and one for the customized part of the purchase or sale. This results in a more precise and simple cost accounting for core exchanges.

Handling

Different parts require different handling, just as different customers do. Some parts are returned individually, like batteries or alternators; some are returned as sets, like brake shoes. Parts can also require inspection to establish whether a partial return fee should be awarded or a denial of the return credit is necessary for parts that are damaged beyond further use. User defined order notes can be generated for every exchange fee deposit, return or damage adjustment. In addition, they can be set up at the system level, customer level or part level, and may be modified on a case-by-case basis, as needed.
